Set up your practice booking page in Gale

Summary

Type "Make our practice page" in chat and tap Publish page on the card. Gale drafts the page from your records: an address at gale.care/practice, each clinician who takes online bookings, and the services clients can book. The page opens once two or more clinicians take online bookings. On the screen it is Marketing > Website and domain > Practice page in Classic, or Growing your practice > Booking page in the Gale layout.

Turn on the practice booking page from chat

In chat, type "Make our practice page" (Ask in chat). Gale drafts the page from your own records and shows a Practice page card: the address at gale.care/practice, the clinicians who take online bookings, the services clients can book and a welcome sentence. Nothing is saved or public until you tap Publish page. After the tap, chat gives the page's address.

The draft fills only what the page doesn't have yet, so an address, text or list you already saved stays as it is. Only the practice owner or a practice manager can publish. A front desk or a biller is told it isn't available for their role.

To close the page later, press Take down on Website and domain (Booking page in the Gale layout). Ask "How do I set up a practice booking page?" any time for these steps in short.

Before it opens: two clinicians who book online

The practice page is one page for the whole group, so it opens once two or more clinicians take online bookings. Until then, chat answers "The practice page opens once two or more clinicians take online bookings." and shows no card. Website and domain has no Practice page yet, and its booking link is your own. An invited clinician counts once they have joined and online booking is on for them.

First add a clinician. Once they have joined, open Online booking: Settings > Scheduling and inquiries in Classic, Settings > Account & opening day in the Gale layout. Turn on Accepting online appointment requests. Then pick each clinician under Clinician, tick Offer online booking and press Save. Each clinician's line reads Offered online or says why not.

On the live page, a clinician is listed only while Gale can book them. Their profile names their licensed states and the care they offer, their hours are set and their first visit has a price. The practice's online payments must be set up too. If no clinician qualifies, the page says "No clinicians are taking online bookings right now."

Do it on the screen instead

In Classic, open Marketing > Website and domain and find Practice page. In the Gale layout, open Growing your practice and scroll to Booking page. Press Draft from records to fill the form, check the address, the clinicians and the services, and press Save page. Then press Publish page. The status changes from Off to Published, and View page opens what clients see. This screen opens for clinicians only, so a practice manager publishes from chat.

The address is gale.care/practice/ followed by 3 to 40 lowercase letters, numbers and single hyphens, like riverside-therapy. An address another practice uses, a clinician's short link or a reserved word is refused with the reason. Publish page stays off until the page is saved with an address and at least one clinician ticked under Clinicians on the page.

What clients see

The top of the page shows your practice name, with the logo, welcome text and colors set on Branding in Website and domain. When two or more offices take online bookings, a Location menu offers Video Office or each office (add another office). Clients then book By service or By clinician. By service asks for their state and lists open times with whoever is free and licensed there, the earliest marked First opening.

By clinician lists each clinician with a headline, a short bio, the states they are licensed in and their next three open times. A clinician with no open times in the next three weeks says so, with Join the waitlist when your practice lets clients join it (share one waitlist). Below, Services lists each service with its length and price, shown as "From" when clinicians charge different prices.

Picking a time opens Gale's booking screen, where the client confirms the visit, signs in or makes an account, and gets a written Good Faith Estimate. The page books first visits. Search engines are told not to list it.

Set the booking rules

The practice page holds how clients book: tick By service, By clinician or both, turn on Show a month view, and pick a Clinician order: Alphabetical, Random or Most openings first. To change the order from chat, type "Show the clinician with the most openings first" (Ask in chat). A Save booking page card shows the change. Tap it, and Undo puts the earlier order back.

Book by service needs the first-visit service on the page. Without it, publishing stops with "Book by service needs the first-visit service on the page. Add it, or turn off By service." Other services you tick are listed with their price but can't be booked there. The form marks them Shown, not booked online.

Each clinician's own rules live on Online booking: Minimum notice, Allow same-day booking, Book up to, Paused until, and each service set to Online, Request only or Hidden. More booking rules holds start times, upcoming appointments per client and Clients may cancel online. The practice page follows these rules.

Take a deposit or a card at booking

If your practice takes payment when clients book, set it on the Booking payment rule card: Settings > Client billing and insurance in Classic, the Billing console in the Gale layout. Choose Card on file, Deposit (an amount from $1 to $1,000) or Full prepay, set Applies to to New clients or Everyone, press Save rule, then Turn on. Only the practice owner changes this rule, on this screen.

Turn on waits until online payments are set up. Clients read the terms under When you book and agree to them in your Financial policy. After booking they see one button: Pay deposit, Pay now for full prepay, or Save card, which charges nothing. An insured client is asked to save a card instead of paying a deposit or prepay. Bookings from the page are paid by card, so with no rule on, the client is asked to add the card they'll pay with.

A deposit or prepay is credited to the visit's invoice. When the client cancels early enough or the practice cancels, the visit reads Refund owed and someone presses Refund on the payment. A later cancellation or a no-show keeps the deposit; the card shows the hours. To excuse one client, use Edit client > Billing and Insurance. Desk payments are in take payments and close the day.

Common questions

The practice page lists a group's clinicians in one place, so it needs two. Add a clinician, wait for them to join, then turn on Offer online booking for each one on Online booking: Settings > Scheduling and inquiries in Classic, Settings > Account & opening day in the Gale layout. Then ask chat again.

Yes, once you tap Publish page. Anyone with the address can open it and book. Search engines are told not to list it, and Take down on Website and domain closes it.

A clinician shows only when ticked under Clinicians on the page and Gale can book them online: online booking is on, their profile names their licensed states and care, their hours are set, their first visit has a price, and the practice's online payments are set up.

No. The practice owner or a practice manager changes and publishes the page; a practice manager does it from chat. A front desk can ask chat for the practice page's address. A biller can't.

Bookings from the page are paid by card. To take a deposit, full prepay or a saved card at booking, the practice owner turns on a Booking payment rule in Settings > Client billing and insurance (the Billing console in the Gale layout), once online payments are set up.
